Lease conditions
1. All liquor and non-alcoholic beverages must be purchased from the Elks Lodge. It is illegal and prohibited to remove liquor and beer from the premises. It is illegal to bring liquor or beer onto the premises. If the affair is catered, the caterer may bring soft drinks or punch into the hall. Please notify your guest of these restrictions.
2. For the standard lease out fee of $875, a $500 deposit is required to confirm reserve the date of the lease out and the deposit will be forfeited if cancellation is made less than thirty (30) days prior to the event.
3. A refundable damage deposit of $250 is required for the lease out of the hall only. A refundable damage deposit of $500 is required for the lease out of the hall and kitchen. Deposit is due prior to the start of the event and will be refunded in full at the end of the event if there is no damage to premises or equipment and no exceptional clean up is required. If any damage is incurred or exceptional clean up is required, it will be evaluated and that amount deducted from the deposit. In this instance, the refund less damages and/or cleanup will be made by Elks Lodge #311 within ten (10) days of end of event.
4. If paying balance on the day of the event, payment must be made by cash or money order. Balance paid by check must be paid five (5) business days prior to the event.
5. If event is booked for a holiday (New Years, etc.), all charges must be paid upon signing the lease agreement. If cancellation is made, there will be NO REFUND.
6. Do not staple anything to the wall, tables, or permanent fixtures.
7. Do not permit candle wax to drip on the floor tables. This may effect your refund of the damage deposit.
8. Do not allow anyone under legal age to consume alcoholic beverages. Do not allow your guests to drive if they are inebriated.
9. Security is required if fifty (50) or more persons are expected at the event. It must be a policeman, sheriff, or any officer who is qualified to make an arrest. The security must be on site thirty (30) minutes prior to the lease-out start and stay until the event is over. One (1) security officer required for 50-150 people at event. Two (2) security officers required for over 150 people at an event. Security will be hired and paid through Beaumont Elks Lodge #311.
10. All events must be concluded by 1:00am and the building vacated by 1:30am.
11. Lessees/Lease Group will provide Beaumont Elks Lodge #311 with indemnification from any claims arising from their use of the lodge property.
12. Lessees/Lease Group agrees to leave the building in the same condition as it was prior to the event. Trash must be deposited in the dumpsters and kitchen must be cleaned and returned to original condition. Any unusual damages will be charged to the lessee/lease group per item number 3 of the lease conditions.
